The Challenge

A major bulk materials handling facility had been requested by their board to improve the information contained within their board reports presented at monthly meetings.

Based on the current report, it was unclear to the Board and shareholders on how the business had been operating over the previous month. Details were discussed but rarely presented within the formal report.

The processes utilised to collate the information was manual and cumbersome, and had not changed for nearly 20 years. 

Maintaining version control and the relevance and accuracy of the information in the report had become a concern to the board of Directors.

The Solution

A framework was developed for improved information platforms, presentation, format and delivery to ensure that all board members were viewing the same information at the same time in the lead-up to and during board meetings.

All current business processes were clearly identified and mapped with new KPI’s developed to cover the performance of the business from a customer, regulator and financial perspective. New data storage facilities, data format, data presentation and update methods were implemented within the business to ensure validity of data and information.

The report was then formally developed, sectioned and assigned to each manager within the business for the purpose of reporting on the last month’s historical performance. A twelve-month moving window was control charted to demonstrate current business process performance and implemented changes.

The Results

  • A board report process was developed that covered the processes and data requirements for information deemed “essential” to the board members.
  • Graphical tools such as staged control charts, bar charts and project S-curves were used to demonstrate factors such as process stability and progress over time
  • Coaching and mentoring of key management was provided to ensure the sustainability of the process into the future.
